Woman of the Year Media Advisory

Location: The Hasty Pudding 2009 Woman of the Year event will be held at the New College Theatre (formerly the Hasty Pudding Theatre), 12 Holyoke Street, Cambridge, MA.

Television & Radio

Video coverage of the parade will not be pooled. Videographers may shoot the parade from along the parade route.

The award ceremony inside the theater will be pooled for video. The pool provider for Woman of the Year is WBZ-TV (CBS Boston).

Coverage of the press conference following the award ceremony is limited to one crew per media organization. Location on the press risers will be on a first-come, first-served basis. TV lighting and an audio mult box will be provided. All crews must display official event credentials.

Photographers

Photo truck: Access to the truck is limited and by credential only, with priority given to major local and national media. Final decisions on access to the press truck will be made by the Harvard News Office and dependent upon space availabile. Photographers should board the press truck beginning 2:00pm at the junction of Massachusetts Ave. and Harvard St. and must remain on the truck for the duration of the parade.

Theater: Access is in designated photo area at stage left of the theater. Space in the theater is extremely limited, and access is at the discretion of the Harvard News Office with priority given to major local and national media. Due to space restrictions, photo ladders will not be allowed inside the theater.

Individual photographers may pre-set their equipment in the theater and/or conference area after receiving credentials. Press areas are limited to one photographer per media organization.

Press conference: Photographers covering both the ceremony and the press conference should leave the theater immediately following the ceremony and proceed directly to the press conference on the second floor of the New College Theatre in Room 203. A standard photo ladder is allowed for the press conference, but only in the roped area. Photographers not credentialed for the theater may watch the presentation and preview on closed-circuit television in the press conference area.

Reporters

The theater has extremely limited seating for reporters, with priority given to major local and national media. Producers and other non-shooting media may watch the presentation and preview in room 203 of the New College Theatre, where closed-circuit TV will be available.

The press conference will include reserved seating for reporters, with priority given to major local and national media. An audio mult box will be available.

Schedule

All times approximate

1:00 PM: Credentialing begins at the Harvard Events and Information Center, located in the arcade of the Holyoke Center (1350 Massachusetts Ave.). Media identification with picture required. Press kits will be available.

1:15 PM: Press conference area and theater opens for media. Access is by credential only.

2:00 PM: Parade formation begins at junction of Massachusetts Ave. and Harvard St. (in front of The Inn at Harvard). Renée Zellweger will ride in an open-air car; press credentialed for the press truck will board it here and must remain on the truck for the duration of the parade.

2:30 PM: Parade begins, proceeding west on Massachusetts Ave. towards Harvard Square. As the parade approaches Harvard Square it will take a left onto Holyoke Street where the parade will conclude in front of the New College Theatre at 12 Holyoke Street. All press credentialed for the press truck must remain on the truck for the duration of the parade.

2:35 PM: Credentialing closes. All press credentials must be picked up by this time.

3:10 PM: Final light meter reading on stage of theater.

3:15 PM: Presentation of the Pudding Pot to Ms. Zellweger; after receiving award, she will pose briefly with the Pudding Pot.

3:40 PM: Preview of “Acropolis Now;” press covering the press conference should leave before preview begins.

4:10 PM: Press conference with Ms. Zellweger for approximately 15 minutes in room 203 of the New College Theatre. Due to a previously scheduled event, attending media must leave immediately following the conclusion of the press conference.
