Thank you for your interest in applying for press credentials to the 2012 Hasty Pudding Theatricals (HPT) Man and Woman of the Year events. The following information is intended to assist you in preparing your application for media access.

OVERVIEW

Press credentials will be issued to members of the working press only. A member of the working press may be understood to be a current employee or representative of a known and established media organization (newspaper, magazine, television, radio, web site, etc.) or individual assigned to cover the HPT 2012 events by an established media organization. Granting of credentials is at the sole discretion of the Harvard University Office of Public Affairs & Communications (HPAC).

ALL PRESS must request press credentials via the following online application and approval  is conditional on agreement to the guidelines below.

A request for credentials does not guarantee they will be issued. A history of having received press credentials to previous HPT Man and Woman of the Year events does not guarantee approval or waive the credential requirements.

All credential requests must be submitted no later than 48 hours prior to the event(s) that you wish to cover. The HPT Woman of the Year event will take place on Thursday, January 26th while the Man of the Year event will be held on Friday, February 3rd. Credential requests received after the deadlines may not be approved.

Walk-up requests for press credentials on the day of the events WILL NOT be granted.

The following rules constitute the media conditions and guidelines for the HPT 2012 events. Please read each item carefully. Strict compliance is required:

GENERAL ELIGIBILITY

1. Valid photo identification must be presented to receive a credential and must be available upon request from organization staff at any time while bearer is on Harvard University property.

2. Each accredited media organization shall be limited to a total of 3 credentials due to space limitations unless granted special permission from HPAC. It is the responsibility of the accredited media organization to determine in advance of the event which of its representatives submits applications.

3. Freelance journalists requesting press credentials must provide either: (a) a letter of assignment, on letterhead, from an editor at an approved media outlet or (b) an email letter of assignment from an editor that originates from an approved outlet’s formal domain. Letters of assignment should be sent here.

4. Journalists working “on spec” are not eligible for press credentials.

5. Media credentials are non-transferable and must be worn at all times when on-site at all HPT 2012 events.

BROADCAST

6. The award ceremony inside the theater will be pooled for video. The pool provider for Man of the Year is to be determined. The pool provider for Woman of the Year is to be determined.

7. Coverage of the press conference after the theater ceremony is limited to one crew per media outlet: A crew consists of one videographer, one technician, and one reporter or producer for broadcast media organizations. The press conference will be located in Room 203 on the 2nd floor of Farkas Hall (formerly the New College Theatre).

8. A mult box will be provided for obtaining audio of the roast, presentation and press conference. Reporters and technicians are responsible for their own recording devices and connectors (BNC and XLR).

PHOTOGRAPHY

9. Access to the Pudding Pot presentation inside the theater is extremely limited, with priority given to major local and national media and dependent on space available. Final decisions on access to the theater will be made at the sole discretion of HPAC. Credentialed photographers cannot roam and must shoot from the designated press areas only. Due to space restrictions, photo ladders will not be allowed inside the theater.

10. There is a limit of one photographer per media outlet in the theater, and one photographer per media outlet in the press conference area. Photographers covering both events may leave equipment in the press conference area, but must leave the theater immediately following the roast and presentation and proceed directly to the press conference room to ensure access.

11. Photographers working “on spec” are not eligible for press credentials.

REPORTERS

12. Reporters’ access to the theater is extremely limited, with priority given to major local and national media. Final decisions on access to the theater will be made by HPAC and dependent upon space available.

13. All press not credentialed for the theater must wait in the press conference area in room 203 of the New College Theatre where closed-circuit television coverage of the roast and presentation will be available. An audio mult box will be provided.

ENFORCEMENT

14. All working media are expected to conduct themselves in a professional manner. Inappropriate behavior at the parade, in the theater and/or press conference will not be tolerated. Interfering with the progress of the parade will result in the immediate revocation of credentials.

15. Any media credential holder who is deemed disorderly or who fails to comply with any of the foregoing conditions may be subject to immediate ejection from the event, and may subject the accredited organization to revocation of its credentials for future HPT Man and Woman of the Year events.

16. Unauthorized use of credentials may subject the bearer to immediate ejection from the HPT Woman and Man of the Year events and may also subject the accredited organization to revocation of its credentials for future HPT Woman and Man of the Year events.

17. Credentials are not transferable and are subject to confiscation should any of the above conditions be violated.

Acceptance of the credential constitutes agreement by the accredited media organization and the bearer to abide by the foregoing conditions.
